Refund Policy :

At Malden Hall Student Accommodation, we understand that circumstances may change, and students may need to cancel or modify their accommodation bookings. We strive to provide a fair and transparent refund policy to ensure a positive experience for all our students.
Please review our refund policy below:

Booking Deposit: The booking deposit is non-refundable unless specified otherwise in writing. If the student's visa application is rejected, a refund of the booking deposit may be considered upon receiving the necessary documentation as proof of visa rejection.

Cancellation Requests: For cancellations made before the start date of the tenancy, the booking deposit will be forfeited. For cancellations made within 4 weeks or 30 days of the start date, a cancellation fee equivalent to 3.5% of the total rent will be deducted from the refund.

Exceptional Circumstances: In certain exceptional circumstances, such as documented medical emergencies or unforeseen events, a refund may be considered on a case-by-case basis. Valid supporting documentation must be provided to support the refund request.

Refund Process: Refund requests must be made in writing, stating the reason for cancellation or early departure and providing all necessary supporting documentation. Refunds, if applicable, will be processed within 15 days to 30 days based on the payment cycle from the date of the refund request. The refund will be issued through the original payment method.

Please note that this refund policy is subject to change, and any modifications will be communicated to students accordingly.

Renewal Policy

Malden Hall Student Accommodation Renewal Policy
1. Eligibility for Renewal:
All current residents of Malden Hall who are in good standing and have fulfilled the terms of their current tenancy agreement are eligible to apply for renewal. Good standing includes timely payment of rent, adherence to community guidelines, and no outstanding damages or fees.
2. Renewal Process:
The renewal process will commence July 1st Week of New Tenancy Term, prior to the expiration of the current tenancy agreement. Residents will be notified via email with instructions on how to submit a renewal application. The application must be completed and submitted by the specified deadline to be considered for renewal.
4. Renewal Offer:
Upon receipt of a complete and satisfactory renewal application, Malden Hall will issue a renewal offer with New Rent. The offer will include details of the new tenancy period, rent, and any changes to the terms and conditions. Residents will have 14 days to accept the offer by signing the new tenancy agreement and paying any required deposit or administration fee.
5. Rent for Renewed Tenancy:
The rent for a renewed tenancy will be determined based on current market rates and may differ from the previous year's rent. Residents will be informed of the new rent amount in the renewal offer.
6. Room Assignments:
Residents who renew their tenancy are not guaranteed the same room. However, Malden Hall will make every effort to accommodate preferences based on availability. Room assignments will be communicated to residents after the renewal process is complete.
7. Cancellation Policy:
If a resident wishes to cancel their renewal after accepting the offer, they must provide written notice according to the terms outlined in the tenancy agreement. Cancellations may be subject to a cancellation fee as specified in the agreement.
8. Non-Renewal:
In the event that a resident does not meet the renewal eligibility criteria or chooses not to renew, Malden Hall will provide information on the check-out process and any associated responsibilities.
9. Policy Updates:
Malden Hall reserves the right to update this renewal policy at any time. Residents will be notified of any changes prior to the commencement of the renewal process.
